Reason for Recommended Action/Background |
The Stephens-Davis Branch Library has a book sorter system that allows customers to drop off their items outside the library, where they are immediately checked in and then sorted into categories which then allow staff to quickly get these items back on the shelves. This sorter handles over 1 million items per year.
The current sorter is now out of date, and the vendor providing maintenance has indicated they are having difficulty finding replacement parts for the machine, causing delays of 1-5 days each time a repair is needed. It is now time to replace this machine.
When developing the FY 2017-18 Library budget, we had thought we would finance the cost of a new sorter over a 5 year period. In examining the finance documents, we can save $23,032 in the cost of interest if we pay for the purchase of the sorter this fiscal year. We would use Davis Cash Available funds to pay for the cost of the new sorter. |

The Library has worked closely with the vendor, Lyngsoe, and the Purchasing Department on the development of this agreement. We received approval from Sacramento Public Library (SPL) and Lyngsoe to adjoin on to their existing contract. |
Competitive Bid Process |
The Library is adjoining to the Sacramento Public Library’s (SPL) existing contract with Lyngsoe. Sacramento Public Library issued an RFP for new sorters, and Lyngsoe had the winning bid. Yolo County Library received approval from purchasing to join SPL's existing contract. |
