Brief Title: IT Innovation funds for Assessor server

Authorize use of IT Innovation funds for the purchase of a server for the storage of scanned images and documents and adopt the resolution adjusting the Assessor 2012-13 budget (BU 108-1) to represent an increase of $9,903. (General fund impact $9,903) (4/5 vote required) (Butler)

Recommended Action

Authorize the use of the IT Innovation Fund set aside in the contingency appropriations for the purchase of a server for the Assessor’s Office for the storage of scanned images and documents; and
Adopt budget resolution increasing the Assessor’s fiscal 2012-13 budget (BU108-1) by $9,903 and decrease the contingency budget (BU 999-1) by $9,903.

Reason for Recommended Action/Background

In 2008 the Assessor, Auditor and Tax Collector converted to the Megabyte Property Tax System. A function of the Assessor’s tax system allows the user to access scanned documents and images. The Assessor’s Office currently uses
SIRE for the storage of images and documents. The link between Megabyte and SIRE is at best cumbersome and difficult to manage. The Assessor would prefer to abandon the use of SIRE and maintain all scanned images and documents on our own server that Megabyte can have a direct link to.

Funds were set aside within the 2012-13 Budget under Contingency appropriations to implement approved IT Innovation Fund items such as this expenditure. If approved, the attached budget resolution authorizes the transfer of the requested funds to the Assessor's Department.
